How to keep a stock sheet
- Count what you have and enter it as the opening stock for each item.
- When goods arrive, add them under Stock in. When you sell or use items, add them under Stock out.
- Set a reorder level for each item so you are warned before you run out.
- Enter the unit cost to see how much money is sitting in your stock.
- Once a month, count the shelves and compare with the closing stock. Correct any difference.
The formulas
- Closing stock = Opening stock + Stock in − Stock out
- Stock value = Closing stock × Unit cost
- Status = LOW when Closing stock ≤ Reorder level
- Reorder level = Average daily sales × Days the supplier needs to deliver + Safety stock
Worked example (example numbers)
| Item | Opening | In | Out | Closing | Reorder level | Unit cost | Value | Status |
|---|---|---|---|---|---|---|---|---|
| Rice 1 kg | 40 | 100 | 85 | 55 | 30 | 1.20 | 66.00 | OK |
| Sugar 1 kg | 20 | 0 | 12 | 8 | 10 | 0.90 | 7.20 | LOW |
| Total stock value | 73.20 |
How the rice reorder level of 30 was found: you sell about 6 a day (85 over about two weeks), the supplier needs 3 days, and you keep a safety stock of 12: 6 × 3 + 12 = 30. When closing stock falls to 30 or less, order more.
Frequently asked questions
What is a stock sheet?
A list of your items with how many you have, how many came in and went out, and when to reorder. It is the simplest form of inventory control.
How do I work out when to reorder?
Multiply the average number you sell per day by the days the supplier takes to deliver, then add a safety amount for busy days. Enter that number as the reorder level.
What does "stock value" mean?
It is the money you have tied up in stock at cost price: closing stock times unit cost, added up for every item.
Can I open it in Excel or Google Sheets?
Yes. "Download CSV" gives a file that opens in both. You can import the same file back later.
Where is my stock list saved?
Only in this browser on this device. It is not sent to us and will not appear on another phone. Download a CSV regularly.
How often should I count my stock?
Many shops do a full count monthly and count fast-moving items more often. Compare the count with the closing stock and fix any difference, which often shows theft, breakage or unrecorded sales.
How many items can I add?
The tool is built for a short list of everyday items. For hundreds of products, one-touch updates and alerts on your phone, use the free Daily Sales Record app.
Does the stock go down automatically when I sell?
Not in this sheet: you enter Stock out yourself. In the Daily Sales Record app your product quantities and low-stock alerts are managed together with your sales.
