How to keep a daily cash book
- Write down the cash you start the day with. This is the opening balance.
- Every time money comes in (a sale, a customer paying what they owe, any other receipt), add it under Cash in.
- Every time money goes out (stock you buy, transport, wages, rent, bills), add it under Cash out.
- At closing time compare the closing balance below with the cash actually in your drawer. If they differ, look for a missing entry.
- The next day's opening balance is today's closing balance.
The formula
Worked example (example numbers)
| Amount | |
|---|---|
| Opening balance | 500.00 |
| Cash in: sales for the day | 1,250.00 |
| Cash in: customer paid an old bill | 300.00 |
| Total cash in | 1,550.00 |
| Cash out: stock bought | 600.00 |
| Cash out: transport | 80.00 |
| Cash out: helper's wages | 150.00 |
| Total cash out | 830.00 |
| Closing balance | 500.00 + 1,550.00 − 830.00 = 1,220.00 |
If the drawer holds 1,200.00, you are 20.00 short: check for a sale you forgot to write or a small expense you did not record.
Frequently asked questions
What is a cash book?
A daily record of money received and money paid out, in date order, with a running balance. Shops use it to know how much cash they should have at any time.
What is the difference between a cash book and a sales record?
A sales record lists what you sold. A cash book lists money that actually moved, including expenses and customers paying earlier bills. A day with high sales can still end with little cash, and the cash book shows that.
Should I record credit sales (udhaar) in the cash book?
Only when the money arrives. When you sell on credit, write it in your sales or customer records; when the customer pays, enter that payment as Cash in.
What if my cash is different from the closing balance?
Count the drawer, then check that every sale and every expense of the day was entered, including small ones. Write the difference as its own entry (for example "cash short") so the books match the drawer.
Is my data safe? Where is it saved?
It is stored only in this browser on this device. Nothing is sent to our server. If you clear your browser data or use another phone, the entries are gone, so download a CSV regularly.
Can I use it in my own currency and on my phone?
Yes. Choose your currency (or leave it blank) and use it in any modern phone or computer browser.
Can I keep my cash book for several months?
The tool is for quick daily use. For months of records, customers and stock in one place, with reports you can export, use the free Daily Sales Record app.
